The Deer Brook clubhouse is available for rental to small groups during the swim club’s off season, October through April.  The clubhouse has heat, electricity, and bathrooms, but no kitchen facility for private group rental.  Reduced rates are given  to members of Deer Brook Swim & Tennis Club and members of the Deer Brook Civic Association.

Some restrictions do apply including, maximum occupancy limit, curfew and no alcohol policy. The Renter (group or individual) must proved  a certificate of insurance or copy of their homeowner’s policy indicating that their personal insurance covers such activities on rented property.

RENTAL POLICIES

The Deer Brook clubhouse may be rented by individuals or groups for social cultural or civic purposes.  The clubhouse may not be used for any commercial or religious activities unless specifically approved by the Board of Directors.  The specific nature of any fund raising activities must be identified and have prior approval of the DBCA Board of Directors.  The following guidelines shall be followed in the rental of the property:

All activities conform to the zoning code of the Township of Medford.  Maximum occupancy is 49 people.

The group or individual renting the facility shall provide proof of insurance to be in force for date of rental.  Individuals shall provide a copy of their homeowner’s policy indicating that their personal insurance covers such activities on rented premises.  Groups, which use the facility on a recurring basis, shall provide an insurance binder naming the Civic Association as an insured party.

All social activities shall have adequate adult supervision at all times (a minimum of 1 adult per 20 children).

Rental activities are confined to designated clubhouse areas.  Use of swimming pool or other outdoor facilities is not allowed.

No alcoholic beverages are permitted on the premises.

No gambling of any type is permitted.

Renter is responsible for the actions of all persons on the premises during the rental period.  Renter accepts the facilities as is and assumes all liability and risks associated with the use of the facility.

Parking outside of the clubhouse parking areas is not permitted.  No cars are permitted to park on Tavistock or Jackson roads.

Renter is responsible for all damage occurring as a result of rental activities  The cost of repair will be deducted from the renter’s deposit.

Renters shall provide all setup and breakdown of chairs, tables etc.  Renter is to leave facilities in a clean and orderly condition.  Cost of extra cleaning as a result of renter’s failure in this regard will be deducted from the rental deposit.
